Hotel Requests

Contracted HIMSS rates are available until Monday, January 21, 2019.  You may still book rooms through the HIMSS website after this date, however, the HIMSSS rate is not guaranteed and rooms are based on availability.

Confirmations

Expect an acknowledgement from onPeak to be e-mailed to you within three business days from receipt of your housing request. This acknowledgement serves as a notification that onPeak has received your request form and has assigned you a hotel. It is also confirmation of your hotel room/reservation. You will receive a reminder confirmation from onPeak two weeks prior to the conference.

Deposit Policy and Payment

You have two options for submitting a deposit.

Deposit by Credit Card

Reservations must be guaranteed with a major credit card at the time of booking. The hotels will charge and advance deposit to the crecit card for all nights held after Monday, January 21, 2019. Should you need to change your form of deposit, please do so prior to Monday, January 21, 2019 to ensure the hotel charges the correct card.

Deposit by Check or Wire Transfer

At the time of reservation, a check or money order may be submitted (made payable to onPeak). If using a check or wire transfer for deposit, the funds must be received by Tuesday December 4, 2018. All bank fees are the responsibility of the sender, not onPeak. After Tuesday, December 4, 2018, only credit cards will be accepted.

Cancellations

Reservations may be canceled in their entirety or changes to arrival and departure dates are allowed until Monday, January 21, 2019 without charge. After this date, the room nights held are subject to full prepayment that is non-refundable. 

Substitutions/Arrival or Departure Changes/Early Arrival

Changes to arrival and departure dates may be made up until Monday, January 21, 2019 without penalty.

Change in Hotel

You may transfer hotels until Monday, January 21, 2019 without penalty. After this date, changing from one hotel to another is considered a cancellation and rooms nights held are subject to full prepayment that is non-refundable and this may result in being charged by both hotels.

Please Note:  All hotels are providing the actual lodging and affiliated services and are responsible for the condition and service at their properties.  Neither HIMSS nor onPeak bear any liability for actions or conditions within the sole control of the hotels.
