Contracted HIMSS rates are available until Tuesday, July 13, 2021. You may still book rooms through the HIMSS website after this date, however, the HIMSS rate is not guaranteed and rooms are based on availability.

Confirmations

Expect an acknowledgement from onPeak to be e-mailed to you within five business days from receipt of your housing request. This acknowledgement will serve as confirmation of your hotel reservation. You will receive your hotel confirmation number from onPeak approximately two weeks prior to the conference.

Deposit Policy and Payment

UPDATE: HIMSS has moved to a new deposit policy of only one night’s room plus tax.

Please provide a valid credit card to hold your reservation. Credit card must expire after the date of the event. Approximately fourteen (14) to twenty-one (21) days prior to start of event, the hotel, not onPeak, will charge your credit card a deposit equal to one night room plus tax. One night room plus tax deposit is also payable by check. Please make checks payable to onPeak. Reservation(s) not guaranteed are subject to cancellation.

Should you need to make any changes to your form of payment, please do so prior to 4:00 p.m. CST on Monday, July 12, 2021. As of 4:01 p.m. CST on Monday, July 12, 2021, all changes will be subject to the non-refundable one night room plus tax deposit and the method of payment on file at that time will be charged. The hotels will begin entering reservations and collecting deposits on Tuesday, July 20, 2021.

Deposit by Credit Card

Reservations must be guaranteed with a major credit card at the time of booking. The hotels will begin to charge an advance deposit equal to one night room plus tax to the credit card held on Monday, July 12, 2021. Should you need to change your form of deposit, please do so prior to Monday, July 12, 2021. Reservations may be canceled in their entirety or changes to arrival and departure dates are allowed until 4:00 p.m. CST on Monday, July 12, 2021 without charge. After this time, the one night room plus tax deposit per reservation is non-refundable.

Deposit by Check or Wire Transfer

After a reservation is booked, a company check or wire transfer (made payable to onPeak) may be submitted. If using check or wire transfer for deposit, the funds must be received by Thursday, June 17, 2021. All bank fees are the responsibility of the sender, not onPeak. After Thursday, June 17. 2021, only credit cards will be accepted.

Cancellations and Non-Refundable Deposit

Reservations may be canceled in their entirety or changes to arrival and departure dates are allowed until 4:00 p.m. CST on Monday, July 12, 2021 without charge. After this time, the one night room plus tax deposit per reservation is non-refundable.

No-Shows and Early Departures

Please note additional clarifications to the policy below:

  • Changes to arrival/departure dates and name changes may be made without penalty until 4:00 p.m. CST on Monday, July 12, 2021 through onPeak.
  • Failure to check-in on your scheduled arrival date will result in a no-show fee, equal to one night room plus tax, and the reservation may be subject to cancellation.
  • An early departure fee, equal to one night room plus tax, may be charged if hotel is not notified of an early departure 24 hours prior to check in.

Substitutions/Arrival or Departure Changes

  • Changes to arrival and departure dates may be made until 4:00 p.m. CST on Monday, July 12, 2021 without penalty through onPeak. Make changes online or call (877) 517-3038.
  • Changes or cancellations to your reservation after Monday, July 12, 2021 may be made online with onPeak until Monday, July 19, 2021, however, you will incur a penalty, equal to one night room plus tax, if canceled.
  • Changes will not be allowed Tuesday, July 20, 2021 through Friday, July 23, 2021 while the hotels process rooming lists.
  • As of Monday, July 26, 2021 changes must be made directly with the hotel. All changes are based on availability.

Cut off and Blackout Date Notice

To ensure the hotels receive accurate lists in a timely manner, onPeak will have blackout dates for manual changes from Monday, July 12, 2021 at 4:01 p.m. CST through Friday, July 23, 2021. As of Monday, July 26, 2021, all modifications to existing reservations are to be managed directly with the hotel(s) through the close of the HIMSS21. Please keep in mind any cancellations made during this blackout period will result in a penalty equal to one night room plus tax, as it falls after the non-refundable date.

Change in Hotel

You may transfer hotels until Monday, July 12, 2021 at 4:00 p.m. CST without penalty. After this date, changing from one hotel to another is considered a cancellation and room nights held are subject to one night room plus tax deposit that is non-refundable and this may result in being charged by both hotels.
