Hotel Requests

HIMSS hotel rates are available until Monday, February 12, 2018.  You may still book rooms through the HIMSS website after this date, however, the HIMSSS rate is not guaranteed and rooms are based on availability.

Confirmations

Expect an acknowledgement from onPeak to be e-mailed to you within three business days from receipt of your housing request. This acknowledgement serves as a notification that onPeak has received your request form and has assigned you a hotel. It is also confirmation of your hotel room/reservation. You will receive a reminder confirmation from onPeak two weeks prior to the conference.

Deposit Policy and Payment

You have two options for submitting a deposit.

Deposit by Credit Card

Reservations must be guaranteed with a major credit card at the time of booking. Should you need to change your form of deposit, the deadline as follows:

  • For groups of 10 or more rooms, please do so prior to Tuesday, January 30, 2018 to ensure the hotel charges the correct card. After Tuesday, January 30, 2018, the hotel will charge an advance deposit to the credit card for your entire stay.
  • Individuals and groups of 9 or less rooms, please do so prior to Friday, February 9, 2018. After Friday, February 9, 2018 the hotel will charge an advance deposit to the credit card for your entire stay.

Deposit by Check or Wire Transfer

At the time of reservation, a check or money order may be submitted (made payable to onPeak. If using a check or money order for deposit, the check must be received by Tuesday January 9, 2018. All bank fees are the responsibility of the sender, not onPeak. After Tuesday, January 9, 2018, only credit cards will be accepted.

Cancellations

Reservations may be canceled in their entirety or changes to arrival and departure dates are allowed, for groups of 10 or more rooms, until Tuesday, January 30, 2018 without charge. Individuals and groups of 9 or less rooms may cancel reservations in their entirety or changes to arrival and departure dates, until Friday, February 9, 2018.  After these dates, the room nights held are subject to full prepayment that is non-refundable. No-shows on-site will be considered a cancellation and will be assessed the cancellation fee equivalent to the room nights held on your reservation. After these dates, changing from one hotel to another is considered a cancellation and may result in loss of the original deposit and the charging of a second deposit at the new hotel.

Substitutions/Arrival or Departure Changes/Early Arrival

Groups of 10 or more rooms can make changes to arrival and departure dates made up until Tuesday, January 30, 2018.

Individuals and groups of 9 or less rooms can make changes to arrival and departure dates made up until Friday, February 9, 2018.

Change in Hotel

You may transfer hotels until Tuesday, January 30, 2018 without penalty. After this date, changing from one hotel to another is considered a cancellation and room nights held are subject to full prepayment that is non-refundable and this may result in being charged by both hotels.
